Who is responsible

When you visit this website
Our hosting services process technical request information needed to deliver and protect the website, including your IP address, browser information, requested page or file and the time of the request. This also applies when you open a sample file. The site runs on our own server, hosted by OVH SAS.
We rely on our legitimate interest in operating a reliable, secure business website under Article 6(1)(f) GDPR. Our own site code does not run advertising trackers or store form drafts in your browser.
Aggregate service-interest counts
A source label can come from a fixed campaign code in a link or from the referring website’s hostname. Only that label is sent to our counters. For example, a label may identify an Instagram sample video; it does not identify a viewer. We carry the label in links between our pages so an enquiry can retain that context. Referrers can be missing and links can be shared, so these labels are approximate attribution.
We count service-page loads, sample-link clicks and enquiry-link clicks by day, service and a broad source label such as referral or search. These counts help us understand which offers are useful. Our counters store no IP address, email, browser identifier, full referring URL or individual event history. We do not use cookies, browser storage or cross-site tracking for these counts. Repeat visits and automated traffic may be counted; these are not unique-person counts. We honour supported Do Not Track and Global Privacy Control signals for this measurement. Aggregate rows are removed after 90 days as new counts arrive.
We use this limited measurement for our legitimate interest in improving our services under Article 6(1)(f) GDPR. The technical hosting processing described above still applies.
When you contact us
The enquiry form collects your name, email address, what the enquiry is about and your message. A broad source label from the enquiry link is recorded with the enquiry. It also records the submission time, a reference and processing status. These details are saved in the website’s database so we can respond and manage the enquiry. Email sent to hi@oddproof.ai is handled through our email provider, Porkbun. Please do not include passwords, payment details, customer lists or sensitive personal information.
We use enquiry information to respond, assess whether a pilot fits your needs and discuss a possible service. Where the request concerns a contract with you, the legal basis is Article 6(1)(b) GDPR. For other business enquiries, including messages from business representatives, we rely on our legitimate interest in handling business communications under Article 6(1)(f) GDPR. Providing the information is voluntary; without a reply address and relevant details, we may be unable to respond.
Sending an enquiry does not subscribe you to marketing. We may use OpenAI tools to help review enquiries and prepare responses. We do not use the form to make automated decisions producing legal or similarly significant effects on you.
Service providers and international processing
Our hosting, email and AI service providers process information needed for their roles. These include OVH, OpenAI and Porkbun. Provider systems may process data outside the European Economic Area. Details of provider processing and the safeguards they describe are available in the OVHcloud privacy policy, OpenAI privacy policy and Porkbun privacy policy. Contact us for information about the arrangements applicable to your enquiry.
How long information is kept
We keep enquiries while needed to answer them, discuss the requested service and resolve follow-up questions. We review enquiry records and remove them when those purposes end, unless a legal obligation or a concrete need to establish, exercise or defend a claim requires further retention. Records that become part of a contract, invoice or tax record follow the applicable statutory retention requirements. Nightly backups of the website’s database are kept with OVH for 30 days, so a removed enquiry can remain in a backup for up to 30 days. Our email provider applies its own technical log and backup retention rules.
Your rights
Depending on the legal conditions, you may request access, correction, deletion, restriction or portability of your personal data. You may object to processing based on legitimate interests for reasons relating to your particular situation. Where processing relies on consent, you may withdraw that consent for the future.
